7 Bookkeeping Mistakes Small Businesses Make (And How to Avoid Them)

Bookkeeping is the foundation of every healthy business. Yet it's one of the most neglected areas for small business owners — especially in the early years when time and resources are stretched thin. At N2 Accounting, we work with hundreds of Ontario businesses, and we see the same bookkeeping mistakes come up again and again. The good news: every one of them is preventable.
1. Mixing Personal and Business Finances
This is the single most common mistake we see, and it causes enormous problems at tax time. When personal and business transactions run through the same account, it becomes nearly impossible to track deductible expenses, calculate accurate profit, or prepare clean financial statements.
The fix is simple: open a dedicated business chequing account and a business credit card the moment you start your business. Use them exclusively for business transactions. This one habit will save you hours of reconciliation work every year.
2. Falling Behind on Data Entry
Many business owners let receipts pile up for weeks or months, then try to catch up all at once. The problem is that by then, context is lost — you can't remember what a purchase was for, receipts have faded, and bank statements don't match your memory.
Set a weekly bookkeeping routine. Even 30 minutes every Friday to enter transactions, categorize expenses, and file receipts will keep your books current and accurate throughout the year.
3. Misclassifying Expenses
Putting expenses in the wrong category — say, recording a capital asset purchase as an operating expense — distorts your financial statements and can trigger CRA scrutiny. Common misclassifications include meals and entertainment (only 50% deductible), home office expenses, and vehicle costs.
Work with your accountant to set up a chart of accounts that reflects your business, and review your expense categories at least quarterly.
4. Not Reconciling Bank Accounts Monthly
Bank reconciliation is the process of matching your bookkeeping records to your actual bank statements. Skipping it means errors, duplicate entries, and missing transactions go undetected — sometimes for months.
Cloud accounting software like QuickBooks Online or Xero makes reconciliation fast and automatic. If you're not reconciling monthly, you're flying blind.
5. Ignoring Accounts Receivable
Sending invoices and then forgetting about them is a cash flow disaster waiting to happen. Unpaid invoices that age past 90 days become very difficult to collect.
Set up automated invoice reminders in your accounting software. Review your accounts receivable aging report weekly. Follow up on overdue invoices promptly — a friendly reminder at 30 days and a firm follow-up at 60 days goes a long way.
6. Not Keeping Receipts
The CRA requires you to keep supporting documentation for all business expenses. If you're audited and can't produce receipts, those deductions will be disallowed — even if the expenses were legitimate.
Use a receipt scanning app like Dext or the built-in receipt capture in QuickBooks or Xero. Photograph receipts immediately and attach them to the transaction in your accounting software. Keep records for at least six years.
7. Trying to Do It All Yourself
There's a point where DIY bookkeeping costs more than it saves. Every hour you spend on bookkeeping is an hour not spent on revenue-generating activities. And mistakes made by non-professionals can cost far more to fix than professional bookkeeping would have cost in the first place.
Consider outsourcing your bookkeeping once your business reaches a certain volume of transactions. A professional bookkeeper will keep your records accurate, your taxes ready, and your time free for what you do best.
